Terms & Conditions

We aim to make your event smooth and successful. To achieve this, it’s important that both parties clearly understand what to expect. We carefully prepare for your event based on our discussions and emails. If you don’t discuss your service format or menu with us beforehand, we cannot be held responsible for any issues that arise.

By hiring us, you agree to the following terms and conditions. Your booking is confirmed when you respond to our confirmation in writing or pay a deposit. We prefer to communicate via email (or text message) to keep a record for future reference.

Please note that we may update these terms and conditions at any time. Make sure to re-read them before your event.

KOCAGOZ Catering operates under ABN 20 959 573 289. The term “Client” refers to the individual named on the booking and their representatives. These terms were last updated in June 2024.

General

  • All of our food is sourced exclusively from Halal Certified suppliers, ensuring the highest standards of quality and compliance with Halal guidelines.
  • Small substitutions may be made to seasonal menu items if a product/produce is unavailable. Example: Silverbeet could be used instead of English Spinach.
  • To cater for children, please count each child as half a serving when calculating your total guest count. For instance, 10 children would be equivalent to 5 adult servings.
  • We require at least 7 days’ notice prior for catering services.
  • We will supply the availability of your preferred date either in writing or verbally. Please note that any proposal or quote does not guarantee the date.

Quotation

  • Verbal quotes over the phone are only an estimate, please request a written quote via a email.
  • Quotes will be valid for 30 days from the date of the quotation.
  • If your requirements change, we will review the quote as necessary.
  • The amount quoted is an estimate based on your numbers at the time of the quotation.

Booking

  • Bookings made less than 21 days prior to the event require immediate payment to be made in full.
  • Your event is not secured until the final payment has been received.
  • We require a minimum of 7 days’ notice for all bookings.
  • Deposit of 50% is required upon confirmation of booking.
  • For events that a further than 6 months away, we may request a non-refundable $400 deposit to secure the date.
  • Bookings are not confirmed until the catering agreement has been completed and signed, and the deposit received.
  • Remaining invoice balance is due 21 days prior to the event.

Pricing

  • All prices quoted are exclusive of GST unless otherwise stated.
  • Prices are subject to change.
  • A 12% surcharge will apply for all events held on public holidays.

Payment

  • We currently accept Direct deposit (bank transfer) & credit card.
  • To facilitate correct payment placement, please ensure your order/invoice number is used as a reference with your payment.
  • A copy of the receipt must be sent to us to confirm payment.

Changes

  • Changes to the booking can be done at any stage up to 10 days prior to the booking date.
    • Change to the menu (changes can’t be guaranteed, and substitutions may be suggested.)
    • Change in time and date.
    • Change to location.
    • Change to guest numbers.
    • Changes may necessitate an additional cost.

Drop-off Catering

  • The minimum order value of $500 exclusive of GST in place which we don’t have a minimum on the number of guests.
  • Delivery is available from Monday to Friday.
  • All orders must be ordered with 3 days’ notice the day prior to your delivery/pick up date.
  • Rescheduling will not be available within a 24-hour window of your pick-up/delivery time.
  • Free delivery available within a 10km radius from 382 Victoria Road, Rydalmere, 2116, NSW.
  • Surcharges may apply for deliveries outside of 9:00 am – 6:00 pm.
  • Please contact us by email if you would like to cancel or make a change to your order.
  • Due to traffic conditions, peak hour, and building access, please allow a minimum of 20 minutes leeway on either side of your requested delivery time.

On-site Catering

  • The minimum order value of $1100 exclusive of GST in place which we don’t have a minimum on the number of guests.
  • Events that run beyond 10 pm will incur a surcharge, the charge will be $200 per hour (inc GST).
  • On-site package includes 1-2 staff members. The number of staff assigned will be determined at our discretion.
  • The Client is responsible for providing safe parking and loading areas for Kocagoz vehicle/s at no cost to Kocagoz. In the event of no available street parking, there will be an additional parking fee applied.
  • When the booking has been completed, we will start packing up and removing our equipment. If extra hours are required, you will be charged at per hour rate. The additional cost will be charged.
  • We offer no travel fee within a 50km radius from 382 Victoria Road, Rydalmere, 2116, NSW. A travel fee will apply outside of the radius, and the travel fee will be based on distance and number of staff required for your event.
  • Requirements will be space of approx. 4m x 4m of flat ground to set up our food station stand. Please also allow room for the serving table if required. Access to a power supply, sufficient lighting if your event is at night and if possible, access to water.

Venue

  • The client is responsible for ensuring that our catering services are allowed at the chosen venue. This includes arranging security, after-hours access, and obtaining necessary permissions. If any insurances or other documentation are required by the venue, please provide us with at least two weeks’ notice to supply the necessary compliance documents.
  • If we arrive at the venue and are unable to set up, the client will be responsible and forfeits any payments made, or will be billed 100% of the event cost with payment due within 7 days. If authorities require us to leave before the service ends, the client will also be held responsible.

Cancellation

  • The client understands that upon entering into this contract, Kocagoz Catering is immediately committing time and resources to your event. Consequently, cancellations result in a loss of income and other business opportunities. We reserve the right to request compensation in the event of cancellation according to the terms outlined below.
  • In the instance that you need to cancel your event, the following conditions will apply;
    • Cancellations must be sent via email.
      • If cancellation occurs more than 30 days prior to the event date, the deposit will be refunded.
      • If cancellation occurs less than 30 days prior to the event date, no refund will be made.
  • If the client cancels the event on the day for any reason other than a Bureau of Meteorology warning for catastrophic weather events or an ‘Act of God’, the client is liable for the full cost of the event up to the minimum spend agreed upon in our email correspondence. This includes reasons such as bereavement, venue issues, or change of mind. If the invoice has been paid, we will retain the amount up to the minimum spend and refund any excess.
  • If the event is cancelled due to non-compliance with these requirements, Kocagoz will be released from this agreement without penalty. The client forfeits any payments already made or will be charged 100% of the event cost with payment due within 7 days.

Weather

  • Kocagoz can cater in rain and moderate wind. If the event is cancelled on the day due to unfavourable weather but we could have still catered, the client is liable for the full cost of the event up to the minimum spend. No refunds will be given for any payments received.
  • If extreme weather is predicted, the client must ensure the welfare of Kocagoz Catering employees. This includes providing shelter for our cooking site surroundings; this can be forms of marquee/gazebo, awning, carport, etc.
  • In the case of unfavourable weather, we do not provide discounts if the event is cut short.

Dietary Requirements

  • We understand the importance of catering for dietary requirements.
  • Our equipment and kitchen used within may contain traces of nut, egg, dairy, gluten, and other known allergens.
  • Please be advised that all care will be taken, but no responsibility will be assumed.
  • We recommend severely allergic guests to bring their own food from a source that can guarantee no cross-contamination.

Plates, Serviettes And Cutlery

  • Plates, serviettes, and cutlery are included in the on-site catering packages. For other packages, these items are not included and will incur an additional charge.

Waste

  • In accordance with health and food regulations, rubbish cannot be transported in our vehicles, so rubbish will be left in bins at the event venue/site.
  • Client to advise if any instructions as to where to leave the rubbish.

Safety

  • We are not responsible or liable for any injury/damage caused to people and concerning any of our equipment & its operation.
  • It is the client’s responsibility to ensure children & pets are kept away from any hot or potentially dangerous equipment. We will not take any responsibility for any damage to people/property caused by non-compliance.
